Manages daily administrative operations of an office, coordinates schedules and communications, supports staff and management, handles correspondence, organizes meetings and events, maintains office supplies and records, and ensures efficient office workflow.
EDUCATION, CERTIFICATIONS AND EXPERIENCE:
• Required:
• High school diploma, GED, or equivalent
• 3+ years’ experience working in an office environment
• Preferred
• Prior experience supporting an office

This position may perform activities in an environment that contains hazardous elements and requires safety awareness and adherence to all safety policies and guidelines.
Work must be performed in a safe manner for personal protection and for the protection of other team members. All safety procedures, procedures described in SOPs, BPRs, and support the compliance of applicable ISO standards in all functional areas must be followed, enforced, and complied with.
PHYSICAL REQUIREMENTS:
• Position requires the ability to sit for 3-6 hours per day
• Stand, walk, bend over, and reach above head less than an hour a day
• Lifting or carrying a minimum of fifty pounds
• Eye/hand coordination and repetitive use of hands/arms for writing and computer work

• Schedule and coordinate with external vendors and suppliers to ensure efficient office operations
• Report general maintenance needs and manage completeness
• Order and maintain office supplies
• Manage purchase orders by confirming accuracy and forwarding to accounting for processing
• Distribute mail accordingly and process shipping for FedEx and/or UPS
• Assist with the coordination of conference calls, meeting planning, and assist with meeting room reservations
• Coordinate travel and hotel arrangements for guests and managers, as requested
• Maintain visitor control by screening and admitting guests pursuant to the Visitor Control Policy
• Plan, coordinate, and facilitate ordering of meals for business meetings and other office functions
• Schedule, coordinate, and facilitate monthly meetings as requested
• In collaboration with appropriate departments, manage building improvement projects for the business office
• Coordinate training on office procedures for new and existing business office employees
• In collaboration with plant HR and the Communications department, create, post, and manage content for the digital message boards
• Specialty and Personal Care
• Maintain suitable inventory based on shelf life and local demands by auditing inventory and ordering from necessary suppliers for the Specialty & Personal Care division
• Coordinate and ship SPC samples to North American and Canada customers via UPS and/or FedEx
